Before You Buy a WMS: Five Questions That Settle the Decision

Many WMS projects fail not because the system is poor, but because the warehouse was not ready for it. These five questions expose your readiness before you sign the contract.

A system does not fix what is broken

The most common thing we see in warehouse management system implementations is a mistaken expectation: that the system will solve problems of operational discipline. In reality, a system documents existing practice more precisely — so if that practice is wrong, it documents the error faithfully.

1. Are your storage locations coded and numbered?

A system works on the logic of "item in location". Without clear, fixed location coding, there is nothing tying the system to reality. This is step zero — and ignoring it is the most common cause of stalled projects.

2. Are your procedures documented (SOPs)?

Implementing a system requires defining who does what and when. If procedures are not documented before the project, they will be written in haste during it — and they will reflect the disorder rather than remedy it.

3. How accurate is your inventory today?

Migrating inaccurate data into a new system produces an inaccurate system. Start with a wall-to-wall inventory that establishes the baseline, then migrate.

4. Who will own the system once the project ends?

Every system needs an internal owner who understands it and develops its use. Without that role, the system will only ever be used as far as staff were trained in the first week, and then it freezes.

5. Do you genuinely need a new system?

In more cases than you might think, the current system is capable of far more than is being used. Before buying a new one, examine whether the problem lies in the tool or in how it is used — the difference between the two is hundreds of thousands of riyals.
