Annual Stocktake or Cycle Counting? When to Use Each

A full annual stocktake is an accounting necessity, but on its own it will not keep inventory under control all year. Here is how to combine the two intelligently without halting your operation.

Each Type Plays a Different Role

Confusing the annual stocktake with cycle counting leads many companies to the wrong decision: settling for a single count a year, then discovering the size of the gap once it is too late.

The Annual Wall-to-Wall Inventory

Usually carried out at the end of the financial year, it is a mandatory step in closing the books. It covers counting every item "wall to wall", and generally requires goods movement to be halted.

When is it the right choice? At financial year-end, ahead of a sale or acquisition, or when warehouse management changes.

Periodic Cycle Counting

Counting selected items at regular intervals without stopping work, usually following ABC analysis: high-value or fast-moving items are counted more often, slow movers less often.

When is it the right choice? When your operation cannot afford downtime, or when you want to catch errors early rather than waiting for year-end.

The Unannounced Control Count

A third tool that nobody serious about control can do without: counting specific items with no prior notice. Its greatest effect is deterrent rather than detective.

The Optimal Combination

One annual wall-to-wall inventory + a monthly cycle counting programme for class A items + two unannounced counts a year. This combination delivers high accuracy throughout the year with the least possible disruption to operations.
